AI Operations Audit for teams with manual, fragmented workflows
We study one recurring process, identify the AI opportunity worth funding, and give you a practical plan for the first implementation. We speak with the people who do the work before recommending a build. We're not there to force AI into a process. If a simple integration is the better first fix, we'd say so early.
When this is the right starting point
Start here when a recurring workflow depends on manual handoffs, repeated data entry, scattered documents, spreadsheets, WhatsApp, or disconnected systems - and the team cannot yet tell which improvement deserves investment first.
- -> The same operational task consumes time every week
- -> People copy information between tools or rebuild reports by hand
- -> Important decisions depend on finding and interpreting scattered data
- -> An automation idea exists, but its value and delivery risk are still unclear
What we inspect
We trace one process from trigger to outcome with the people who perform and manage it. The audit covers the actual workflow, not the workflow a policy document says should exist.
- -> Steps, owners, handoffs, delays, exceptions, and rework
- -> Tools, documents, data sources, permissions, and integrations
- -> Decision points where AI may assist, automate, or create unacceptable risk
- -> The baseline effort and the operational outcome that should improve
What you receive
The result is a decision package for the first implementation, written so a business owner and a technical team can use the same plan.
- -> A current-state process map with the main bottlenecks
- -> A prioritized opportunity map across AI, integration, and simpler process fixes
- -> A recommended first workflow with expected value, dependencies, and risks
- -> An implementation outline covering data, integrations, human review, and measurement
How the engagement works
We begin with a 30-minute AI Opportunity Call to check fit and choose one process. A focused audit then runs for 5 to 10 business days, followed by a working session where we review the results. If the recommended build is worth pursuing, we provide a separate implementation proposal.
What AI should not solve
AI is not the first fix for every bottleneck. If the process is undefined, the required data does not exist, or a rules-based integration solves the problem more reliably, we say so. High-impact decisions also need explicit human review and fallback paths before automation reaches production.
Relevant proof
Our work includes operational software for healthcare staffing, scheduling, payroll, and compliance workflows, along with AI-assisted recommendations, document-heavy processes, and production systems built around real teams and data.
See case work ->Engagement
The AI Opportunity Call qualifies one recurring process. The audit produces the decision package; implementation is scoped separately, so you can review the evidence before funding a build.
Book the call ->Frequently asked questions
- What happens during the AI Opportunity Call?
- In 30 minutes, we identify one recurring process, the people and tools involved, the operational cost of the current workflow, and whether a focused audit is the right next step.
- What does the audit deliver?
- You receive a current-state process map, a prioritized opportunity map, a recommended first workflow, and an implementation outline covering data, integrations, risks, human review, and success measures.
- How long does the audit take?
- A focused AI Operations Audit usually takes 5 to 10 business days once the relevant process owners and source materials are available.
- Can you work with incomplete or messy data?
- Yes. The audit checks data readiness and identifies what can be used now, what needs cleanup, and whether the first improvement should be an integration or process change before AI is introduced.
- Can Sinister build the system after the audit?
- Yes. If the opportunity is worth pursuing, we propose a focused implementation sprint covering the application, integrations, evaluation, deployment, and adoption support. The build is a separate decision.
- Where does human review fit?
- We define human review wherever an incorrect output could affect money, customers, compliance, or operations. The implementation plan includes checkpoints, low-confidence fallbacks, and a clear owner for exceptions.
Bring one recurring process
Tell us where work slows down, who is involved, and which tools carry the process today. We will use the AI Opportunity Call to decide whether an audit is the right next step.
